  • Calendar : The calendar on your platform corresponds to the schedule for planning interviews with your candidates. If you have several programs, you have several calendars that differ by name and color. It is possible to have several calendars per program to facilitate the organization of evaluators. The calendar is based on Google Calendar, but you don't need a Google account to access it. It is possible to synchronize your calendar with another application for added convenience. To schedule your interviews, you must add availability ranges.

 

  • Campaign : A campaign is a defined period of time during which candidates can submit one or more applications for one or more programs. A campaign is always associated with a program. On the platform, they are generally referred to as the "Submission Period". You can have several application campaigns running at the same time if you have several programs.

 

  • Program category : If you have several programs, you undoubtedly have program categories. These categories allow you to better understand your management. They are defined in advance during the development of the platform. For example, they may be as follows: Training; Research; Student life; International.

 

  • Program code : The code of a program corresponds to the acronym of the program in question. It consists of a name without spaces and special characters. It will allow you to find your program better if you have a lot of it.

 

  • Connector : The platform can be interconnected with many software applications. The term "Connectors" refers to the interconnections available with your platform. To find out if interconnection with a specific software is possible, do not hesitate to contact us.

 

  • Evaluation Criteria : The evaluation criteria are program-specific and are defined during the development of the platform forms.

 

  • Decision Criteria : The same applies to the decision criteria.

 

  • Email Trigger : An email trigger corresponds to the setting for sending email. It will allow to send one or more automatic emails, previously defined, to users of the platform. These emails can be sent to candidates who have applied for a specific program but also to users of the platform such as evaluators for example. The form to set up the email trigger is divided into two parts: information about the message to be sent and information about the recipients who will receive the message in question. Let's take an example: it is possible to automatically send an email for the training program A related to the application campaign A with the email template A to candidates when their status changes from "Draft" to "Sent".

 

  • Candidate file : A candidate file corresponds to the information given by the candidate when he or she begins to complete the application form for a campaign associated with a program. Thus, you can find in this folder some or all of the information requested in the form.

 

  • Access rights : Depending on the user profile and the access group to which he belongs, the user will be able to access certain spaces and perform certain actions for an application campaign. There is obviously a "super user" who can access all the spaces of the platform.

 

  • Label : You can assign a label to a candidate file to facilitate your application management.

 

  • Evaluator : An evaluator is a user profile that can access the candidate files assigned to it and complete the evaluation form. Depending on his access rights, he can of course perform other actions.

 

  • Export : You can export documents, evaluations, form elements, data and other documents as desired. These exports are possible in ZIP, CSV (Excel) and PDF format. This way, you can keep the files you need on your computer or server.

 

  • Filter : Filters will make it easier for you to find a candidate file, for example. By default, you can filter folders by Campaign, Year, Program, Status, Publication, Label or other form elements. But you can also save your own filters.

 

  • Form : A form is composed of several fields, mandatory or not, with a help bubble if necessary and a defined number of characters. These fields require information. The forms can concern the application part but also evaluation, decision or admission.

 

  • User group : A user group is a group of several users with the same access rights. They allow you to better understand how to manage the platform's users.

 

  • Indicator : An indicator is a visual representation of data generated in the platform. You can then evaluate your performance. You can also export the data from the graphs. Benefit from all kinds of indicators by contacting us.

 

  • Invitation of experts : The invitation means that the client wishes to have a candidate file evaluated by an external evaluator called an "expert". This expert can either accept or reject the evaluation. If he accepts, he will be able to evaluate according to the evaluation criteria only the candidate file assigned to him.

 

  • JCRM : The term "JCRM" corresponds to the list of reference persons. These contacts were collected through the candidates' letters of reference.

 

  • LDAP contact list : This feature is useful to save you time by importing a user profile from your LDAP list and creating a user on the platform.

 

  • Meta-tags : Meta-tags are used to personalize your emails. They are in this form: [META_TAG]. They will then be transformed into the desired information (candidate file number, candidate name, program name...). Meta-tags are useful in case you want to send a mass email while personalizing it to each recipient.

 

  • Letter template : A letter template is a document that will be sent. It can be static and therefore be added as an attachment. It can be built directly on the platform or from Word and customized with meta-tags.

 

  • Multi-campaign : The multi-campaign allows you to create several application campaigns for a program during the same year.

 

  • Availability range : An availability period corresponds to a related date, time and calendar. This time period will be used to find time for interviews with your candidates.

 

  • User profile : The user profile will determine the accesses and spaces assigned to a user type. For each candidature campaign, a candidate profile must be created.

 

  • Program : A program is defined by a year, a candidacy campaign, a name and an associated candidate profile. Candidates will submit their application for a program.

 

  • File status : A folder status keeps all users of the platform informed of the progress of the processing of the file. By default, there are 2 statuses on the platform: "Draft" and "Sent". The status "Draft" corresponds to an application file created. As for the status "Sent", it means that the candidate has finalized his file and sent it. It is of course possible to add your own statutes.

 

  • Email template : This is an email template defined from the settings of an email. It can be used in the case of an email trigger or simply used again if necessary.

 

  • Platform user : A user of the platform is a person who has created an account and therefore owns one, to which he can connect.

  • Go to Administration > Users
  • In the Actions menu, add a new user (User > Add new user)
  • Fill in his account information: for his profile, choose a "Evaluators" profile, and associate it with a university and an access group.
  • Validate.
  • An automatic email will be sent to the person with their account information.
